Project Site Coordinator - Agency Operation Alignment Specialist

If you’re interested in leading a movement that will strengthen the community mental health system of care we want you to join our team.  As the coordinator, this unique position will serve a critical role for NCSS in a state-wide initiative to roll out a Unified Electronic Medical Record (UEMR).

Working closely with other teams, the Project Site Coordinator will provide leadership during implementation phases of the UEMR project, including conceptualization and determination of business needs; business requirements, assessment, configuration and development; testing, implementation and change management; review of deliverables prepared by vendor to ensure consistency.

• Project Site Coordinator works with information technology (IT) staff, subject matter experts (SMEs), and program leaders to coordinate planning, organizing, controlling, integrating, designing, implementing, and enhancing information systems and services for clients. • Ensures project management principles are incorporated into each project and may provide leadership during certain phases or segments of the project. o Project phases include conceptualization and determination of business needs, business requirement assessment, configuration and development, testing, implementation and change management. • Project Site Coordinator will assure that all operational change efforts within the organization remain aligned with external partners and coordinate internal and external efforts to ensure that outcome. • Work is performed under the supervision of the Chief Operating Officer. Examples of work include, but are not limited to: • Creates, baselines, and executes project work plans, including scope, schedule, and revises as appropriate. • Identifies and coordinates assignment of resources and ensures resource plan is carried out consistent with overall project goals and schedule. • Reviews deliverables prepared by vendor to ensure consistency with requirements and recommends acceptance or rework. • Minimizes risk to clients and company. • Some high level business analysis may also be required, including process analysis and development of flow charts, cross-functional charts, and requirements analysis. • Prepare and present information to management.. Other tasks and skills include: • Team Coordination • Communication and Messaging Management • Event Planning, including location management, logistics, remote conference tool management • Captures Action items and meeting minutes • Assists with creating and managing documentation and project artifacts including version control and processing for signature and Record Retention Policy • Manages Project Management Site • SOW (scope of work) management and tracking • Ability to work across clients and vendors, including calendar management and coordination • Set up and maintains workspace for Project Manager and Leaders • Researches and gathers materials as required and maintains all files and records • Perform other supports and related duties as required
Bachelor’s degree in Business and Two (2) - Four (4) or more years’ experience in the role of project manager. Or, a combination of Certification as a Project Manager Professional AND two (2) years or more of experience in the field of information technology where the primary role was project manager.
